This notice explains what personal information Einstein Education Consult (EinsteinED) collects, why, and what you can do about it.
Who we are
Einstein Education Consult is the trading name of EINSTEINS EDUCATION CONSULTANCY LTD, a company registered in England and Wales (company number 16242042). Registered office: Moulton Place, Blakelaw, Newcastle upon Tyne, NE5 3RL. We are the controller of the personal information described here.
For anything about your information, email contact@einsteined.co.uk.
The short version
- We collect only what we need to arrange and teach lessons and to reply to you.
- For a student under 18, we deal with their parent or guardian.
- Assessments, tests and monthly exams are taken online on TargetGrade, a product of Gradespace Ltd, which holds the answers and results for us.
- We do not sell personal information or use it for advertising.
- You can ask for a copy of your information, or for it to be corrected or deleted, at any time.
What we collect
- Enquiries and the free consultation: the parent’s or guardian’s name, email, phone number, and what you tell us about the student (their year group, subjects and goals).
- Students: name, year group or key stage, the programme and subjects they take, attendance, and their work, marks and progress.
- Assessments on TargetGrade: the student’s TargetGrade account (name, email address, classes and subjects), and their answers, marks, feedback and results for each test and monthly exam.
- Messages: emails and WhatsApp messages you send us, and our replies.
- Payments: the payer’s name, the amount, the date and the reference of each bank transfer.
- Website visitors: messages sent through our forms; and, for security, the IP address and time of sign-ins and failed sign-ins. Our visitor counts use no cookies (see the cookie policy).
Why we use it, and our lawful basis
- To reply to enquiries and hold the free consultation: steps you ask us to take before a contract.
- To teach lessons, track progress and tell parents how a student is doing: to perform our contract with you.
- To keep the website and accounts secure: our legitimate interests.
- To take payment and keep the financial records the law requires: to perform our contract, and legal obligation.
Online lessons on Zoom
Lessons take place live on Zoom. To run the meeting, Zoom processes the name and email address used to join, and technical details of the connection.
- Lessons are not recorded at the moment.
- From January 2027 we will record the tutor’s slides and teaching, so students can watch a lesson again. We’ll tell every family before recording starts.
- Who can watch: only students, in their own dashboard (the lesson videos area). Recordings are not shared publicly or with anyone else.
- How long: a recording stays available while the student is enrolled with us. When they leave, they can no longer watch it.
Assessments on TargetGrade
Our assessments, online tests and monthly exams run on TargetGrade, a product of Gradespace Ltd (company number 13919800), which acts as our processor: it holds this information for us and only uses it to provide the service.
- Each student has their own TargetGrade account, so they can take tests and see their results. We give TargetGrade the student’s name, email address, classes and subjects.
- TargetGrade keeps the student’s answers, marks, tutors’ feedback and results. Their tutors can see them, and so can the student; we share results with their parent or guardian.
- Students sign in to TargetGrade with their own account, or open it from our website without a second password: our website asks TargetGrade for a sign-in link that works once, within a minute. Tutors can do the same. Each sign-in is recorded for security.
- Results are kept while the student is with us. They are deleted when you ask, or within 2 years of the student leaving, and we ask Gradespace Ltd to delete the TargetGrade account too.
Children
Most of our students are under 18. We ask a parent or guardian to make the enquiry and agree to lessons, and we share progress with them. We collect no more about a child than we need to teach them.
Who we share it with
Only the companies that help us run the service, under contract and only for that purpose: our web and email host (Namecheap), Zoom for live online lessons, our bank for payments, and TargetGrade (Gradespace Ltd) for assessments and results. We never sell personal information.
How long we keep it
- Enquiries that don’t lead to lessons: up to 12 months.
- Student records, work and results, including assessments on TargetGrade: while the student is with us, then up to 2 years.
- Financial records: 6 years, as the law requires.
- Security logs: up to 30 days.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, ask us to limit how we use it, or object to it. Email contact@einsteined.co.uk and we’ll reply within one month.
